Al Harris Library Event Space Policy (Draft)

The Al Harris Library has spaces that may be reserved for small public events on the first floor, the Instruction Room, and the outdoor portico adjacent to the entryway. Please read the policy below for the terms and conditions for the use of these spaces. If you have questions about this policy please contact the Library Director.

  • Events must contribute positively to the library's environment and adhere the goals of the SWOSU mission statement.
  • Representatives of these groups may request library spaces for public events:
    • SWOSU divisions, colleges, departments, offices, and units.
    • Student organizations recognized by the Dean of Students. The event must have the approval of the organization's sponsor.
  • Please submit your request at least one week prior to the event date. (Please note that an event is less likely to be approved if the requested date is during dead days, finals, or the interims between semesters. Contact the Library Director if you have questions.)
  • Your request is not approved until you receive written confirmation from the Library Director or the Director’s designee.
  • Event space cannot be reserved on a repeated or ongoing basis.
  • Events must take place during the Al Harris Library’s normal operating hours.
  • Foods and drinks provided at your event must comply with the library's Food and Drink Policy.
  • The person making the event request is responsible for any damage to the library facility or equipment.
  • The person making the event request is responsible for clean-up after the event.
  • If you must cancel your event please notify the Library Director or the library’s administrative assistant at least 24-hours in advance.
  • The Library Director reserves the right to modify or cancel event reservations.
